Conference Information
A. Attendance, Fees & Forms
1. Each school will be allowed to determine how many students they will
bring to the conference, but all students will have to compete in an event.
Only affiliated members will be allowed to register and compete during the
state conference.
2. Chaperones should register and accompany your chapter at the ration of
1:10. There must be a male and female chaperone if there are male and
female students in your delegation. The chaperone rule will be strictly
enforced.
3. The registration fee of $50 per advisor, student and chaperone must be
received by Tennessee TSA on or before March 26, 2010. Registration
fees will not be accepted after March 26, 2010. You must pay for all students and adults registered as of March 26, 2010 even if they do not attend. No exceptions and no refunds will be given.
4. The TSA Dress Code will be enforced during the conference. Students
will not be allowed to participate unless name badge and appropriate
dress are worn. It is the advisor’s responsibility to see to it that his/her
delegation is appropriately dressed at all times.
5. Each student, parent, advisor and principal should read the Code of
Behavior and each must sign the form. The forms should be reproduced,
processed, and brought to the conference to be turned in at advisor
check-in on Sunday, April 11, 2010. Advisors failing to bring these forms
will be requested to sign a liability form. Please, do not mail these forms
to Tennessee TSA.
6. The Publicity and Media Release Form must also be printed and signed for each participant and submitted at advisor check-in on Sunday, April 11, 2010. Please, do not mail these forms to Tennessee TSA.
7. Personal Liability & Medical Release Forms should be completed and in
the possession of the advisor at all times during the State Conference. It
is important to also obtain a copy of the medical insurance card in case an
emergency arises. Please, do not mail these forms to Tennessee TSA.
B. Registration - March 6, 2010 deadline.
1. Registration materials must be properly completed and received by Tennessee according to the deadlines assigned or sooner. All participants must be registered through the online system. There is no paper registration. There is no on-site registration or changes. Do not submit your registration until you confirm the entries with your students.
2. On-line State Conference Registration will open on February 8, 2010 and will close on midnight of March 6, 2010. Chapter Advisors can only register if they have paid affiliation through National TSA. Your affiliation with National TSA is not complete until paid in full. It takes three weeks to receive the Total TSA CD with the event guidelines after registration is paid. Please pay affiliation before March 6, 2010. Advisors who have already paid their affiliation will receive an e-mail reminding them of their password. If you do not receive and e-mail with your password, then your affiliation is not paid in full. Once you have affiliated and paid then you can register for the
conference with the same log in and password given to you by National TSA.
3. Advisors may make changes to their registration until midnight on March 6, 2010. Registration will not be accepted after March 6, 2010. The deadline to drop participants or make changes to registration is March 6, 2010.
4. After you have registered your chapter participants on-line, advisors will receive an automatic invoice which should be returned with a check to Tennessee TSA by March 26, 2010.
C. Judging Results
1. Advisors who have a complaint about a competitive event must register the complaint in writing within 2 hours of the event or the issue is dropped. All complaints should be filed in the TSA headquarters in the Banjo room.
2. Conflicts and errors detected at or immediately following the awards ceremony require notification of TSA State Advisor within 2 hours of the awards ceremony.
3. The judges’ decisions are final and no awards will be changed after the conference.
4. Event entries that do not meet the minimum qualifications, outlined in the event guidelines will be subject to disqualification. It is the joint responsibility of the student member and chapter advisor to carefully review the event guidelines and verify all entries meet the qualifications prior to arriving at the State Conference.
5. Contestants who do not bring the required supplies, equipment or materials for their chosen event(s) will not be allowed to compete.
6. Judges’ comment sheets will be sent to advisors within two weeks of the State Conference to prepare for the National Conference. The judges’ sheets will not be used to dispute the outcome of an event.
